Title: Admin & Finance Coordinator
Reporting: Vice President
Duties: The duties of the Admin & Finance Coordinator shall include but not be limited to the following tasks:
Responsibilities:
- Handle Accounts Payable, Journals & General Ledger and bank transactions in Greater China
- Ensure timely closing of monthly accounts and updating schedules
- Assist in GST reporting
- Reconciliation of Inter-company transactions and balances
- Provide ad-hoc accounting information upon request
- Assist in the preparation of the annual budgets and the quarterly forecasts
- Be responsible for the compliance of all financial statutory, taxation and government policy requirements
- Full secretarial support to VP
- Ad-Hoc support to senior management
- Travel arrangement for senior management
- Support and provide oversight with HR such as preparation of company letter supporting visa applications
- Disseminate news/articles of interest related to the Company on ad-hoc basis
- Follow up actions on memos/rules where relevant
- Assist with any Company social event
- Assist with any ad-hoc project / exhibition / seminar as and when required
- Assist to book hotel for visitors
- Ensure time-line for specific tasks are adhere/followed
- Liaison with counter-parts in other countries and regions and follow-ups on their ad-hoc request/requirements
- Co-coordinating and checking of Purchase Requisitions for Final approval
- Sourcing of vendors/suppliers for purchases
- Assisting in generation of Client/Project invoice
- Create and maintain a safe workplace
- Assists and facilitates new business development by working with marketing departments and communicating with respective teams
- Ensure compliance with all Company policies and procedures and legislative compliances
Requirements:
- Possess a diploma in Finance/ Accounting or equivalent
- A member of a professional accounting body
- Minimum 1 years working experience in administration or accounting, preferable in construction/ project management industry
- Working for both PMA (i.e. foreign invested firms) is a plus
- Ability to use a variety of computer programs to maintain ledgers and to prepare financial statements and different types of reports as required
- Fluent in both written and spoken English and Cantonese
- Proficient in MS Office
- Meticulous and result-oriented
- Proactive team player with initiative
- May be required to travel within Asia-Pac
