SCOPE

The Office Admin will undertake a variety of diverse project oriented tasks, many of which will involve research, collecting and assembling data, review and analysis, summarizing key conclusions, and communicating with key internal and external managers in the process. He/she will carry out other project tasks relating to the successful implementation and completion of the critical path. 

PRIMARY RESPONSIBILITIES

Log data related to logistic administration into reporting system
Involve in general procurement, order processing, and progressing
Interact with customers with respect with respect to parts and delivery schedules maintaining client database.
Maintain vendor performance database invoicing.
Cover for organization's departmental colleagues while on leave or absent.
Develop and maintain relations with internal and external departments for movement of goods and repairs. 
Interact with external and internal suppliers in respect to delivering general record keeping.
Participate in administration of internal sales order records and procedures. 
Prepare and maintain monthly financial records including payroll
Prepare and maintain monthly invoicing
Assist in preparation of bids including spreadsheets, binders, background information and correspondence. 

QUALIFICATIONS

EDUCATION

Tertiary degree / diploma required; degree in Business Administration and or Finance or any related field would be advantageous. 

REQUIRED EXPERIENCE

Minimum 1-2 years in the workforce with experience at administrator/ coordinator level that would support the job scope. The successful candidate may have a background in hospitality but is not essential.
- Experience in finance/book keeping - essential
- Background in practical experience in Logistics/ Supply Chain - helpful


REQUIRED KNOWLEDGE

Well rounded understanding of hotel and/or casino operations would be an advantage.
PC literate with a working knowledge of Microsoft Word, Excel, a must.

SKILLS / ABILITIES / PRESENCE

Fluency in English 
Strong attention to detail. 
Quick to grasp concepts that will facilitate analysis.
Good with numbers and financial evaluations.
Able to think through critical path detail and quickly grasp interdependencies.
Able to multi task and work with multiple departments.
Strong communication skills and an ability to work both within a team environment and independently. 
Good planning, organizational, time management and administrative skills.
Be prepared to work the hours that will be required to achieve the desired results and timeframe.
Have a well groomed, professional appearance.
