Position Requirement:
Position Title: Office Administrator Main Function: Supervise the day to day office administration and control the support services activities within the Bohai Phase II FPSO Hull project during the design, fabrication, mechanical completion and shipyard commissioning phases of the project. Key Roles & Responsibilities: - Be responsible for the day to day office administration activities, which will include: - Day to day office administration - Functional supervision of all secretaries - Functional supervision of all project car drivers - Co-ordination of site cars, cell phones and general pool items - Single point of contact for all visitors, including Personnel agency representatives - Maintaining visitors book - Be the single point of contact for liaising with company provided housing agency (APP) - Liaise with COPC Beijing and SWS (if used) for organizing work permits, visa, residence permits, etc. - Maintain spreadsheet containing leave cycles for all PMT members - Organize hotel and flight reservations (including airport-hotel transport) - Be the single point of contact for all HR related activities at site - Ensuring sufficient stationery is at hand for the PMT - Arrange suitable offices/cubicles for incoming personnel Education & Qualification: Required Level: Recognized secretarial or administration certificate of education and 5 years experience in a similar role Critical Skills and Expertise: Other desired qualities include: Fluent in written and spoken English language and Mandarin language Good organizational skills Good interpersonal skills Ability to cope in a positive and productive manner within a stressful environment as expected in large Projects with aggressive schedules. Demonstrated ability to plan and organize work scopes for administrative personnel and effect their implementation on a timely basis, thus ensuring adequate supporting administrative service is provided to the PMT throughout the execution phases.
